PEA Meeting Minutes May 18, 2010 (Tuesday afternoon)
CHANGE: Begin meeting promptly at 12:45pm
Place: Lourdes Room
Pray the Rosary at 2:05pm with the IHM student Rosary Rally
Present: Grace Schmidlin, Sally Schroder, Steve Green, Jeanine Schmolt, Pat Tekulve.
Ongoing business: Feedback/recommendations for the placement of the monstrance on a table when Grace and Sally meet with Dave Auxier: All agreed that the monstrance would be safer on a table in a corner as opposed to up against the pew. Leave the kneeler up against the pew and take out the chair. Most of us agree that ideally, the monstrance would be atop the tabernacle.

A Petition will be read a couple of times during the week and the two weekends before as well as the actual weekend. (Ed Hamann and Dave Auxier were contacted by Sally.)
An announcement on the electronic sign welcoming Father Warkulwiz. (No Picture of Father available.) Sally will contact Dave Auxier as we get nearer to the actual weekend.
June 5/6 Father Victor's Schedule for his visit to Immaculate Heart of Mary parish
The actual weekend: Transportation is designated by: TRPN
Jeanine Schmolt will provide a simple gift basket including Julie Stinchcombe's "Inspired" CD/ Matt Swaim's book about the Eucharist and the Rosary to be placed in Father's room at Comboni to welcome him.
A spiritual bouquet will be given to the Bests as a thank you gift. (All sign Immaculate Heart of Mary blank card in Fatima Room before weekend.) Jeanine will get a simple bouquet of flowers.
Grace Schmidlin will purchase breakfast and snacks for Father Victor.
Father arrives at CVG at 3:30 pm Friday afternoon, June 4 (TRPN: Bill and Pat Tekulve and Sally Schroder will join them for dinner that evening.
A light breakfast on his own at Comboni Saturday. (Father will not be going to 8:15AM Mass.)
Father Victor will enjoy Saturday lunch with Fathers Tom and Robert as long as there is no funeral. Steve Green is the back up if there is a change of plans TRPN : Father Tom ( time: 11:30- 1:00pm. )

TRPN to Bests' home Grace: Saturday evening dinner with Father Victor will include our DLs, coordinators, and our priests if they are available, and Dave & Beth Auxier ? (Jo Ann and Jim Best will host us at their home. This would be about 7 pm, after counting the sign-up sheets after the 5 pm Mass. It's tricky getting to Joanne's home. It would be good if we followed each other.

The Sunday Evening Meeting, June 6, is for our entire PEA organizational structure, all Coordinators, Division Leaders, and Captains and will be held in Heritage Hall at 7:00 pm.
Fr. Warkulwiz will talk to us and answer questions, etc. Sally sent a letter for DLs to send to their captains.

All Ushers: Wear a name tag. Have a blank for those who aren't in the PEA organization.
Kevin Black is now in charge of Ushers: Sally contacted him regarding extra responsibilities for our regular ushers and sent the information via email.
Our PEA captains are needed as ushers. Please meet promptly 20 minutes before Mass in Guadalupe for instructions regarding your designated collection/clean up area. Name tags (provided). Resp.: Sally has a diagram of church layout.
Deacons: Grace contacted them. Sign up sheets: Ready. Golf pencils: Ready.
We will be setting up after Saturday morning Mass: placing the pencils in the pews, etc.
All articles for the bulletin: Ready.
Captain responsibilities for the next month: In letter to captains from coordinators by way of Division Leaders
New Adorer meetings. Wednesday, June 23 and Sunday June 27 at 7pm Heritage. In bulletin the weekends of June 13 and 20. Please come if at all possible.
After the Masses: Counting the blue sheets: DLs/ coordinators in Guadalupe (reserved after all Masses) John Szucsik, photographer, has been contacted. He will come to one of the Masses but was unsure which one.

Please pray to the Holy Spirit for many new adorers (prayers on the Take One table in the chapel)
We are looking for new captains for midnight and 8 am. The DLs will take over temporarily.

Miscellaneous:
Largest ministry at IHM? Dave Auxier tells us that the Boosters and the Day School are the largest. It isn't helpful for us to say that anyway.
Patrick Reis : New adorers from Men's CRHP. Six names were sent to Sally and she sent them on to Grace who will call them.
We have Holy Spirit book marks and booklets on How to Listen to the Holy Spirit. We were given permission from Dave Auxier to pass them out/place them in a basket(s) in the Gathering Space the weekend of Pentecost, June 23. Jeanine will supply baskets.
Regarding decorations for special holidays in the chapel: The PEA core team suggests beautiful roses to be placed at the foot of the tabernacle in a vase, provided by the parish art and environment ministry, to be removed after a few days. Not addressed.
Idea for discussion for fall: Tabled.
For Christmas and Easter, invite parishioners who work/are home with children/etc. and can't be regular adorers to surround Our Lord with love by signing up for an hour on the actual feast day. Could have a sign up sheet or a special card to sign to Jesus. (People are more apt to come when committed to a time.)
Ongoing Business:

Upkeep: Kneelers Steve Green has volunteered to cover the soiled kneelers. Dave is getting the padding. The rug will be cleaned when the entire church's carpeting is cleaned.
Parish consecration: Take the weeks in the Marian month of October and explain in each bulletin: the history of our parish consecration, explain what this is, the kinds, provide a general Consecration Prayer for all to cut out and pray with their families, and provide information on personal consecrations via Maximilian Kolbe and Louis De Montfort. !
