PEA Meeting Minutes March 16, 2010
Pray Rosary at 1:00 P.M. Meeting directly afterwards. (New time)

Old Business:
There are no lights trained on the statues of Mother Mary and St. Joseph. These should be on continuously as those alcoves are dark. One light should be trained on the Sacred Heart and never turned off as well.
Chapel cleaning for Easter: Dave Auxier will ensure the kneelers are replaced and the chapel rug is cleaned.
We need new captains for midnight and 8 A.M. The DLs will take over temporarily.
New Business:
A Closer Relationship: It has come to us in prayer that PEA would appreciate/needs a closer relationship with Worship Commission. Our core group of leaders has soldiered on for six years representing the largest ministry at IHM. Centered in prayer, we are fulfilling Immaculate Heart of Mary's Mission Statement of being centered in Jesus in the Eucharist/Blessed Sacrament. The more adorers we have, the more our parish benefits! Especially sought after is getting the word out that Jesus is Present in our chapel. Right now, we need help specifically in building excitement for the upcoming Sign up weekend June 5/6, making sure all ministries and parishioners are aware, and having our parishioners actively praying for many new adorers. A person from the PEA core team would like to come to a Worship Commission meeting occasionally to keep them apprised of our projects/need for support. We appreciate suggestions.
· Suggestion to Worship Commission: Place a prayer in front of the hymnal (as for the Parish Mission/ Priests) so that all are aware of Father Victor Warkulwicz's coming to plant seeds and encourage. We would happy if you wrote it but we are also willing. Do we need a full-page spread like for other important parish events to capture attention?

Sign up Weekend is coming in June!
Writing: Father Victor has an announcement for the bulletin for the two weeks prior to June 5/6. Sally will submit to Lisa in the parish office. When do we start? Tentatively, an initial brief announcement will appear in the April 10/11 bulletin and then again in the April 24/25 bulletin, as well as some seed articles. “Don't miss Father Victor'” with Father Victor's actual full-page article in the weekends of May 23 and 30.
· Need new writers/ideas. Ministry members made suggestions for writing to engage our parishioners. Start with a question or “If you are thinking about renewing your commitment...” Send any inspirations to Sally Schroder.
· The actual weekend: Father arrives at 3:30pm Friday afternoon, June 4 (Bill and Pat Tekulve will pick up) and returns to Philadelphia Monday, June 7 at 1:04 pm. (CVG) Sally will provide return transportation.
· Transportation in general: We will make a table of needs and all of us will sign up to cover Father's time with us.
In charge of ushers and Mass coordinators: Regular ushers and captains instructing and straightening up pews Responsible contact: Sally
Saturday lunch with Fathers Victor, Tom, and Robert? Steve Green will contact our parish priests to see if this works with their schedules.
Saturday evening dinner with Father Victor with DLs, coordinators, priests, Dave Auxier, Jo Ann and Jim Best at the Best's home (check in with her as to what we can bring) after the 5 P.M. Mass and counting the sheets. 7:00pm Responsible contact: Grace.
Sunday evening meeting with Father Victor for our entire organizational structure in Heritage Hall at 7 P.M.
Get key: Sally Contact captains: Coordinators will send a note via DLs

Deacons: Grace will call our deacons 2-3 weeks ahead of time
Run off enough blue sign up sheets (Sally has some. Need 3000.)

Nametags with PEA logo are in the PEA closet (Need tags for new captains Marge and Tom Gutekunst, Linda Gauggel, Frank O'Toole)
After the Masses: Counting the blue sheets: DLs/ coordinators in Guadalupe (reserved after all Masses)
Miscellaneous:
· Consecration update: Father Tom asked Sally to send him an email regarding the Reconsecration of our parish to the Immaculate Heart of Mary and possible dates in the fall. This was done.
· Schoolchildren Eucharistic procession: Joy is working on a May procession. Thursday, May 13 would be perfect (The Ascension of Our Lord and the Feast of Our Lady of the Most Blessed Sacrament and of the first apparition of the appearance of Our Lady of Fatima)
· Archbishop Schnurr's upcoming visit is on Tuesday, May18: (Mistakenly written as March 18)
· Oral prayer for after Easter: Change date Thursday, April 8 through May 20: Send to Sally. Jeanine has prayers. Regina Coeli? Prayer to the Holy Spirit ? A song? Good idea to vary format.
· Pat Tekulve: Drop Jo DeSalvo from Monday 8 A.M. Thank you note from captain? We are in need of three adorers for Friday at 7 A.M. First Friday is covered but more adorers would be best.
· Next Meeting: Tuesday, April 20. Bag lunch at 12:30 P.M., prayer at 1 P.M.
Post-meeting suggestion:
Easter Holiday times and Holy Thursday information will be submitted to Dave Auxier and then appear in the March 28 bulletin. Linda Reekers will provide placard for Easter holiday times.
